Set up your organization
This guide is for Owners and Admins. At the end your people can sign in to Chat at your address, you have roles and groups in place, and Slack or Teams answers with the bots you chose.
1. Create the organization
Open console.geki.ai and select Create account. Enter your work email and follow the link in the email. It confirms your address and lets you set a password. If your company signs in with single sign-on, the Console sends you to your company's login instead. Use your work or personal email address. The Console does not accept disposable addresses. Then sign in. By continuing you agree to the terms of use and the privacy notice.
On the first sign-in you can:
- Accept an invitation, if someone invited you.
- Ask the Owners of an existing organization for an invite, if your email domain matches one. You cannot create a second organization with the same domain. If you are not from that company, use the contact form.
- Create your own organization. The name is pre-filled from your email domain. You can change it. With a free mail address you can also enter your company website. The assistant reads it to understand your company. Enter the name of your company. Street, postal code, city, and your VAT ID are optional, and the country is an EU member state. You need the full address before your first purchase of credits. Then accept the general terms, the privacy notice, and the contract documents.
After you create the organization, you get a registration confirmation. It sums up your company details, the contract terms, and the documents you accepted. You can open it any time under Billing and save it as PDF with the browser's print function. You also get a welcome email.
Next you choose your Chat address. The Console suggests your company name in URL form, for example ro-quadrat.companybots.eu, and shows whether it is free. You set the address once. You can also pick the brand colour. Select Continue, or Later to choose the address on the Start page. Then the Start page opens and the assistant helps you build your first bot. See Build your first Company Bot.
2. Invite members
Open Members and select Invite.
- Enter the email address.
- Pick a Role.
- Send the invite. The person gets an email with a link that works for 7 days.
Pending invites show Invited in the list. Use the row actions Resend or Withdraw. To change a role later, use the row actions of a member. You can also remove a member there.
| Role | What it can do |
|---|---|
| Owner | Manages the organization. Appoints and removes Owners and Admins. |
| Admin | Manages bots, keys, members, connectors, channels, models, and settings. |
| Builder | Builds and publishes bots, skills, triggers, and Knowledge Bases. Uses the Console assistant. Manages their own API keys. |
| Member | Uses Chat. Does not open the Console. |
| Viewer | Reads. Changes nothing. Made for the CLI and the API. |
Most people are Members. A Viewer is for people and programs that only read through the CLI and the API. Only Owners appoint and remove Owners and Admins.
3. Create groups
Groups decide who can use which Company Bot. A person can be in several groups.
- Open Members, then Groups.
- Select Create group and enter a name, such as "Support team".
- Open the group, pick its people, and save.
The group All members always holds everyone. You cannot change it. New bots start with it.
Pick the groups for a bot in the bot editor, under General, Who can use this bot. See Company Bots.
4. Set the Chat address, name, and colour
People open Chat at https://{slug}.companybots.eu.
- Open Connections, then Web Chat. A line at the top tells you if Chat is ready.
- Set the Chat address, if you did not when you created the organization. Use 2 to 32 characters:
a-z,0-9, and hyphens. This step is optional. You can set it once. After that only GEKI support can change it. The form shows the address while you type and asks you to confirm. In a child organization, the partner sets it. The form suggests your company name in URL form when it is free, for examplero-quadratfor "ro-quadrat GmbH". Until you set an address, Chat uses the organization id. - Set the Chat name. Everyone who opens your address sees it. Leave it empty to use the organization name.
- Set the brand colour. Open Settings, Company, then Brand colour, and pick a colour or enter a hex code, such as
#1a2b3c. Chat uses it for links and highlights. - Fill in the publisher under Settings, Publisher & contacts: the name, website, privacy URL, and terms URL. Chat shows the terms and privacy links before the first chat. The Slack and Teams apps show the publisher.
Send your people the address and the guide Use Chat.
5. Connect Slack or Teams
This step is optional. Connect an app when you want people to talk to bots in Slack or Teams. The apps take their name, colour, and publisher from Settings.
- Open Connections and select Add connection. Pick Microsoft or Slack.
- Follow the setup. It shows the steps at the top and opens the next open one. Each step has a script or a way by hand. The guides explain each step: Connect Microsoft and Connect Slack. You need admin rights in the Slack workspace, or in the Microsoft 365 tenant.
- For Teams, select Set up in the Teams row of the Microsoft connection when the connection is done.
6. Choose which bot answers where
On Connections, select Configure in the Teams or Slack row. The page has these parts:
- Bots: the live Company Bots the app answers with. Anyone can call one by writing
~name. - Entry bot: the bot that answers a mention in a channel with no default bot.
- Name detection: Name answers when a bot's name appears in a thread the bot is in. Model also lets a small model decide whether a message was meant for the bot.
- Direct messages: New conversations go to a bot you pick, or Members choose. Tick Offer the Personal bot in direct messages to add the Personal bot.
- Channels: set a Default bot per channel. To add a channel in Slack, invite the app to it. In Teams, add the app to the team.
Only live bots answer. Group access applies here too: a person who may not use a bot cannot reach it through Slack or Teams.
