Keep a Knowledge Base current
This guide is for Owners and Admins. At the end a bot called the curator watches a folder in OneDrive or SharePoint. When a file is new or changed, the bot reads it and updates the pages of a Knowledge Base. Other bots then answer from those pages.
GEKI does not copy your files into a Knowledge Base by itself. A bot does the work, with a trigger that tells it what changed. You decide what the bot writes through its instructions.
Before you start
- Your organization has Microsoft 365 or Google Workspace set up for bots.
- You connected your own account in Chat under Settings, Connected accounts, in the row Microsoft 365. The trigger runs as you and sees only the files you can reach.
- You know the folder. Use a folder in your OneDrive, or the web link of a OneDrive or SharePoint folder or library.
1. Create the Knowledge Base
Open Knowledge and select New Knowledge Base. Pick a name and a template. Say in the description what the pages hold. The curator and every bot that reads the Knowledge Base see it.
2. Create the curator bot
Create a Company Bot. Open Editor.
-
Under Model and instructions, write what the bot does. For example:
Code -
Under Capabilities, Knowledge, add the Knowledge Base with Read & write.
-
Under Capabilities, Microsoft 365, set Files to Read. The bot needs this to read the file named in the note.
-
Under Capabilities, Workspace, turn on Use a workspace. A Knowledge Base needs one. Keep the internet access restricted.
-
Select Save in each section, then Publish. Confirm the items the Console lists.
3. Add the trigger
Open the Triggers tab of the bot and select Add trigger. For Kind, pick Microsoft 365.
- For Starts when, pick New or changed file.
- Enter the Folder or library. Add the File types you want, such as
docx, pdf. - Under Check every, choose how often GEKI looks. Every 5 minutes is the shortest.
- Under For new items, choose Start one run per item to start a run for every file. A file that changes again starts another run. Choose Start one run with all new items to batch them.
- Set At most per check to a number you can accept, such as 10. A folder that was reorganized does not start hundreds of runs.
- In Input, write the task, for example "Update the Knowledge Base from this file."
- Select Add trigger.
The trigger runs as you.
The first check starts nothing for the files that are already there. To fill the Knowledge Base from them, ask the curator in the Agent tab of the Knowledge Base, or save the files again.
4. Check the result
Open Triggers, then Runs, and read the first runs. A run shows the file, the answer, and the tool calls. In the Knowledge Base, History shows every revision with the bot as author. Select Revert revision to undo one. Nothing is lost.
Keep in mind
- The text of a file is data from other people. The bot is told not to follow instructions in files, but a Knowledge Base with write access can still be changed by what a file says. Point the trigger at a folder that only trusted people can write to.
- The trigger runs as one person. When that person leaves the organization, the trigger turns off. If the account needs a new sign-in, the trigger turns off too, and the list says why. Connect the account again, then turn the trigger on. Pick a stable person, or a person who stays.
- A run started by a trigger can read files and write pages. It never sends mail.
- Pages are live at once. You do not publish the bot after a Knowledge Base changes.
