# Use Chat

This guide is for everyone who works with bots. At the end you can talk to a Company Bot and to your Personal bot, send files, download results, and read or clear your memory.

## 1. Open Chat and sign in

Your Owner or Admin gives you the Chat address of your organization. It looks like `https://{slug}.companybots.eu`.

1. Open the address.
2. Select **Sign in** and use your GEKI account. If you have an invitation email, accept it first.
3. On your first visit, Chat shows a short notice about the AI. Tick the box and select **Agree and continue**.
4. Chat opens on the home page.

If you only know the short name of your organization, open `companybots.eu`, type the name into the **Workspace** field, and select **Go**.

Chat stays in one organization. To use another organization, open its address. To sign out, open the menu with your name at the bottom of the sidebar and select **Sign out**.

## 2. Pick a bot

The home page shows your **Personal bot** and the Company Bots your organization pinned. Select a card to open that bot.

Bots that are hidden in Chat do not appear. To find any other bot, select **All bots** on the home page or in the sidebar. Search by name. The list is grouped by category. You only see the bots you may use.

Your Admin can also send you a bot link, `https://{slug}.companybots.eu/b/{bot id}`. The link opens a new chat with that bot. If it shows "You cannot use this bot.", ask your Admin to give your group access.

A bot page shows its name, what it is for, and starter questions. Select a starter question to send it.

## 3. Send a message

Type in the box that says **Send a message...** and send it. The answer appears while the bot writes it. You cannot send the next message until the bot has finished.

Each chat belongs to one bot. To talk to another bot, select **New task** in the sidebar and pick a bot.

## 4. Attach a file

Select the **+** button in the message box, paste a file, or drag it in. What works depends on the bot.

- **Images** work when the bot's model can read images. Use PNG, JPEG, WebP, or GIF. You can attach up to 4 per message.
- **Files** can be up to 10 per message. A chat with a workspace takes any file up to 50 MB. A chat without a workspace takes only text files, such as `.txt`, `.md`, `.csv`, `.json`, and code, up to 256 KB.

Chat tells you when it cannot take a file. "This file needs a workspace" means this chat has no workspace. A Company Bot has a workspace only when its creator turned it on. With the Personal bot, switch **Workspace** on before you send the first message.

## 5. Download results

A bot with a workspace can create files, such as reports or spreadsheets. They appear under its answer.

- Select the file name to preview it.
- Select the download icon next to the name to save it.
- Select the **Files** icon at the top of the chat to see every file of the chat.

## 6. Come back to a conversation

The sidebar lists your chats. Select one to continue it. Use **Search threads** to find an old chat.

A chat gets a title from your first message. To change the title or delete the chat, open the menu of the chat in the sidebar and select **Rename** or **Delete**.

Your own direct messages with a bot in Slack or Teams also show in this list.

## 7. Use the Personal bot

The Personal bot is an assistant for you alone. Your organization sets its model and tools. You add your own instructions. It works in Chat like any other bot. Open it from the home page or the sidebar.

Before you send the first message, the message box can show switches for this chat:

- **Workspace**: files and a private computer for the chat.
- **Browser**: a browser inside the workspace. It needs the workspace.
- **Memory**: use and update your memory in this chat. It needs the workspace.
- **Web search**: let the bot search the web.

Your organization decides which switches you see. A switch marked "Always on" cannot be turned off. You cannot change Workspace, Browser, or Memory after the chat has started. You can change Web search at any time.

To set your own instructions, open the menu with your name, select **Settings**, then **Personal bot**.

- **Your instructions** are added after the instructions of your organization. Use up to 4000 characters.
- **Defaults** set what is on or off when a new chat starts. **Org default** follows your organization.
- **Connected accounts** is a separate tab. It lists the accounts you can sign in to, such as Microsoft 365 or an MCP connector. Select **Connect**, or paste your token and select **Save token**. See [Tools and MCP connectors](/tools#connected-accounts).

If your organization lets Owners read Personal bot chats, Chat shows a note about it.

## 8. Read and clear your memory

Memory is a set of notes about you: how you like to work and what you do. You have one memory in each organization. The Personal bot reads and writes it. A Company Bot can read it when its creator turned that on. A Company Bot never writes to it.

Admins see only numbers, such as how many people have a memory. They cannot read the content.

Open **Settings**, then **Memory**.

1. **Memory for the Personal bot** turns memory on or off for new chats. Your organization may keep it on.
2. **Your memory** shows how much space you use.
3. **Files** lists the pages. Select one to read it. You can edit or delete a single file there.
4. **History** shows each change, who made it, and when.
5. **Export** saves your memory as `memory.zip`.
6. **Delete all** removes every file and the history. The next chat with memory starts empty. This cannot be undone.
